As a Board Member of a local college, I found myself scrambling to prepare for our monthly meetings. Once my assistant began scheduling preparation time into my calendar, this problem disappeared.
On many days I receive up to 150 emails. Once I arrive at the office in the morning, my time is dedicated to formal and informal meetings. Some days I don’t get to look at my email. Now, email time is scheduled into my calendar in the morning, prior to me leaving the house to go to the office. This practice allows me to better prepare for the day ahead and at the same time to respond on a more timely basis to email requests. Since I arrive at the office a bit later, no meeting is scheduled on my calendar prior to 10am.
Managing the many notes I take at meetings has always been a challenge. Together with Ann, my assistant and I designed a hole-punched ‘notes sheet’ that works for me. I carry a supply with me in my briefcase. Once completed, they are filed according to date or by subject, depending on their topic.”
